Privacy notice
VLD Construction Limited is the controller of the personal information you give us. You can contact us about it at info@vldconstruction.co.uk or at our registered office (details above). This notice explains what we collect, why, and your rights under UK data protection law (UK GDPR and the Data Protection Act 2018).
What we collect
- Your name, phone number, email address and postcode.
- What you tell us about the job, and any photos you send.
- Records of calls, emails and messages with you.
- For customers: the address of the work, quotes, invoices and payment records.
- If a landlord or managing agent books work, they may give us residents' names and phone numbers so we can arrange access. We use these only for that.
Why we use it, and our lawful basis
- To reply to your enquiry and prepare a quote: taking steps you've asked for before a contract.
- To carry out and invoice the work: performing our contract with you.
- To keep accounting and tax records: a legal obligation.
- To answer questions, warranty claims or disputes about the work later: our legitimate interests in being able to do that.
- To arrange access with residents when a landlord or managing agent books work: our and their legitimate interests in getting the work done.
You don’t have to give us your details, but without contact details and the job address we can’t reply or quote. We don’t send marketing, we don’t sell or rent your information, and we don’t make decisions about you by automated means.
Who we share it with
Only with services that help us run the business (our email provider, our website host and our accountant), and with anyone we are legally required to share it with.
Our website host stores information in the European Economic Area. UK law recognises the EEA as protecting personal information adequately, so no extra safeguards are needed.
How long we keep it
- Enquiries that don't go ahead: 12 months, then deleted.
- Job records kept for questions or claims about the work: 6 years after the job.
- Financial records: six years from the end of the company financial year they relate to, as HMRC requires (longer if HMRC is checking a tax return).
Your rights
You can ask to see the information we hold about you, have it corrected or deleted, restrict how we use it, or have a copy in a portable format. Email info@vldconstruction.co.uk and we’ll reply within one month.
You can object at any time to our use of your information based on legitimate interests.
Complaints
To complain about how we use your information, email info@vldconstruction.co.uk with “Data protection complaint” in the subject, or write to our registered office. We’ll acknowledge it within 30 days, look into it without undue delay, keep you updated and tell you the outcome.
If you’re still unhappy, you can complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint.
